Job Description
Summary
The Event Center Coordinator is responsible for ensuring a high level of service to all users of Perham Lakeside Event Center (staff, clients, guests, vendors, etc.). The primary duties of this role is to attract events-both new and recurring, promote the entire facility, oversee all operations of the event center facility, and be Perham Lakeside's main contact on the day of an event. This includes the management of all staff, vendors, communication with clients and guests, the oversight of all procedures throughout the day, and quick resolution of problems that may come up.
Duties & Essential Job Functions
- Create, maintain, and distribute weekly schedules for event staff and communicate event timelines, needs, and changes as appropriate to all involved.
- Commit daily to create a continuous teaching environment that focuses on staff timeliness, productivity, proper service, and other standards of service excellence.
- Assume an active role in the hiring, training, coaching, and development of event staff.
- Serve as a role model to demonstrate appropriate behaviors to all staff members.
Day-to-Day Responsibilities
- Promote Perham Lakeside Event Center in the Perham community and within the Ottertail Lakes Country Region, as well as seeking out new markets and clients to attract new business opportunities.
- Focus on creating "memorable moments" for event holders, members, and guests.
- Ensure that members and guests are always receiving an exceptional event experience.
- Field and follow up on all event center inquiries on a timely basis.
- Track all inquiries and measure the conversion rate by event type. Report findings to PBC, LLC Partners.
- Participate in weekly team meetings and monthly management meetings, and provide updates on activities within the event center.
- Conduct tours of the facility to interested parties.
- Conduct pre-event meetings, to include but not limited to service standards, operational updates, event details and safety.
- Maintain clear, consistent communication with all restaurant, kitchen, and pro shop staff, placing particular emphasis on close coordination with the Kitchen Manager regarding upcoming special events, menu selections and pricing, and headcounts.
- Schedule and support the event center team with set up, execution, and breakdown in a timely manner.
- Confirm that all service staff are in proper uniform or dress, and are wearing name tags where required.
- Act as a "situational leader", monitoring the quality and pace of service and assist where needed.
- Plan, implement, and maintain processes that will enhance the services, procedures, team dynamic and overall member/guest satisfaction.
- Possess a positive attitude and have the ability to work with a variety of people and in cooperation with co-workers efficiently and effectively.
- In charge of cleanliness and organization of the event center and event center bar.
- Work with the Food & Beverage Manager to order all beverages for special events as needed.
- Respond to and resolve member and guest concerns.
- Address and resolve employee issues.
- Assist with marketing the club events.
- Conduct oneself in a professional and courteous manner with guests and employees.
- Assist in creating and updating the Perham Lakeside Training Manual for all event center staff.
- Other duties as assigned.

- Ability to work independently, solving problems as they arise with no supervision.
- Excellent communication and presentation skills, both verbal and written to interact knowledgeably with and impact both internal and external parties.
- Hands-on and proactive management style.
- Customer service Rockstar.
- Ability to work with poise under pressure.
- Meticulous attention to detail.
- Proven strength as a motivational team-builder, developer of staff, coach, and mentor.
- Must be able to work evenings, weekends, and holidays. Hours will vary based on facility requirements.
